Volunteers – A Cry For Help

The village hall needs more volunteers.  Below are descriptions of the following key roles:

  • customer management
  • grants management
  • compliance
  • marketing

Customer Management

Purpose of the Work

The purpose of the work is to increase the use of the village hall by individuals and organisations through the effective management of the Charity’s customers and their needs.

Tasks

The work involves:

  • building a good relationship between the Charity and its customers
  • handling all requests to book the village hall
  • meeting customers and ensuring the village hall is prepared for each booking
  • recording and analysing relevant data

Commitment

  • handling bookings – 1 hour per booking for approximately 100 bookings a year
  • meeting customers and ensuring the village hall is prepared for each booking – 0.5 hrs per booking
  • recording and analysing data
  • average total: 30 mins per day in the year

Relevant Skills and Experience

Essential

live within easy distance of the village hall (customers must be met at the village hall twice a week, on average, in the year)
good word processing and spreadsheet skills
working with others

Useful

live within walking distance of the village hall
experience of customer management in a service environment

Grants Management

Purpose of the Work

The purpose of the work is to enable the Charity to make successful bids for relevant grants.

Tasks

The work involves:

  • researching the grants available
  • establishing relationships with relevant people and grant organisations
  • identifying grant opportunities that meet the Charity’s needs
  • generating and submitting grants
  • managing successful grants

Commitment

  • researching & identifying grant opportunities – 4 hrs a month
  • generating and submitting up to 2 grants per year – 10 hrs per grant
  • managing up to 2 successful grants per year – 4 hrs per grant
  • average total: 68 hours per year; 78 minutes per week

some understanding of grants and relevant organisations

Compliance

Purpose of the Work

The purpose of the work is to ensure that the Charity complies with all relevant laws, regulations and good practice.

Tasks

The work involves:

  • maintaining the Charity’s record of compliance
  • monitoring changes to. or the introduction of, new laws, regulations and good practice and their impact on the Charity
  • identifying any area of non-compliance and monitoring action to make it compliant
  • ensuring regular review of the Charity’s state of compliance and

Commitment

  • research and review – 4 hours a month
  • monitoring and review – 2 hours a month
  • average total: average of 6 hours a month; 12 mins a day

Marketing

Purpose of the Work

The purpose of the work is to build and sustain knowledge of the Charity’s activities.

Tasks

The work involves:

  • producing and distributing event notices and other paper based information
  • maintaining the Charity’s digital outlets including website, facebook page etc.
  • promoting the Charity’s logo on all publicity material
  • producing the Charity’s newsletter

Commitment

  • producing and distributing event notices etc. – 2 hours a month
  • producing the Charity’s newsletter (twice a year) – 6 hours twice a year
  • maintaining the Charity’s digital outlets – 1 hour a week
  • average total: 7.3 hours per month

Relevant Skills and Experience

Essential

good word processing skills including the production of integrated text and image documents
ability to create digital content using html
working with people

Useful

experience of using drawing software to develop artwork
experience of WordPress or equivalent website development software
